CLARIFICATION TEXT ON THE PROCESSING OF PERSONAL DATA

As Turkey Informatics Association ("TBD"), we have prepared this clarification text in order to inform you, our event participants, about your request to participate in your "TBD Webinar" online event within the scope of the Personal Data Protection Law No. 6698 ("KVKK") and the relevant legislation and the processing, storage and transfer of your personal data that will occur during participation in the event that your request is approved.

Before going into detail about your processed data, it should be noted that the event will be held online through the Zoom.us Meeting application. For this reason, when you register for the event, your data that is mandatory for registration and your data processed during the event and the details of which are described in this text, due to the fact that the Zoom.us application servers are abroad, transfer abroad will be in question.

Purposes of Processing Personal Data
  • The purposes for which the mandatory information is processed:
    • Execution of Access Authorizations
    • Execution of Communication Activities
    • Organization and Event Management
    • Execution of Advertising / Campaign / Promotion Processes
    • Execution of Storage and Archive Activities
  • Purposes of processing optional data
    • Conducting Marketing Analysis Studies
    • Execution of Sponsorship Activities
    • Execution of Strategic Planning Activities
    • It is also processed for the purposes of "Follow-up of Requests / Complaints" in case you have a request or complaint regarding the event or "Providing Information to Authorized Persons, Institutions and Organizations" in case TBD receives a request as stipulated in the relevant legislation.
Legal Grounds for Processing Personal Data Your personal data may be collected by TBD in line with the realization of the above-mentioned purposes, as specified in Article 5 of the LPPD;

  • Explicit consent of the person concerned (applicable for optional information)
  • Provided that it does not harm the fundamental rights and freedoms of the data subject, it is processed based on the legal reasons that data processing is mandatory for the legitimate interests of the data controller (valid for mandatory information).

  • If you interact during the event, any recordings that may occur during the interaction.
  1. To Whom and For What Purposes Can Your Personal Data Be Transferred?

Your personal data,

  • Your e-mail address and the name you declare during your participation in the event will be transferred to the Virtual Environment application.
  • The event will be publicly broadcast on TBD's social media channels. Therefore, the audio and video of the speakers will be recorded. Normally, the audio and video of the participants (audience) will not be recorded. However, if you, as a participant, interact with your open identity during the event (for example, if you ask a question and your question is answered), your name and the question you ask may be recorded by the moderator or the participant answering the question. If you do not want your name to be recorded, you can ask the question anonymously. This is entirely up to you. If you give your name with your consent, you consent to the disclosure of your name.
  • Authorized Public Institutions and Organizationsfor the purposes of providing information to authorized persons, institutions and organizations within the scope stipulated by the legal regulation and fulfilling the obligations arising from the legislation,
  • Suppliers for the purposes of setting access authorizations for the realization of the event, carrying out information security processes, carrying out communication activities, carrying out storage and archive activities, monitoring requests and complaints, organization and event management,

Only as much as is necessary for the realization of the relevant purpose may be transferred by complying with the rules in Article 8 of the KVKK regarding Transfer or Article 9 regarding Transfer Abroad and by taking the necessary technical and administrative measures.

  1. How Long Is Your Personal Data Stored?

The retention period of your personal data is as follows:

  • Visual recordings of the event (recordings of speakers) and recordings of you interacting with the event will be published without any time limit as they will be made public.
  • The information you provide in the forms you fill out to register for the event will be deleted, destroyed or anonymized in the first review after the event takes place.
  1. What Are Your Rights Regarding Your Personal Data as a Data Subject and How Can You Exercise These Rights?

You may exercise your rights under Article 11 of the Law on the Protection of Personal Data regarding your personal data by applying to TBD through the methods stipulated in the Communiqué on the Procedures and Principles of Application to the Data Controller.

Pursuant to the Communiqué, the application of the Relevant Person must contain the name, surname, signature if the application is in writing, T.R. identification number (if the applicant is a foreigner, his/her nationality, passport number or identification number, if any), residential or workplace address for notification, e-mail address for notification, telephone number and fax number, and information on the subject of the request, and your application will not be processed in case of any deficiency in this information.

Requests made by unauthorized third parties on behalf of someone else will not be evaluated.

  1. How long will your requests regarding the processing of your personal data be answered?

Your requests regarding your personal data will be evaluated and responded to as soon as possible and within 30 days at the latest from the date of receipt by TBD. If your request is accepted or rejected with an explanation of the reasons, our response will be sent to you by mail or e-mail to the address you specified in the application, if possible, in the same manner as your request was made.
